Syllo Innovations Ltd (“Syllo,” “we,” “us,” or “our”) is a business-solutions company based in Belize. We help businesses run their operations on integrated software systems, and we communicate with people across a range of channels, including email, our website, phone, and messaging platforms such as WhatsApp.

This policy explains what personal information we collect, why we collect it, how we use and share it, and the choices and rights you have. It applies to our clients, to visitors of our website, and to the people we message — whether on our own behalf or on behalf of a business client who has engaged us.

01 Who this policy covers

The people we hold information about

Depending on how you interact with us, you may fall into one of these groups:

  • Clients and prospective clients — businesses and their representatives who engage us, request a quotation, or enquire about our services.
  • Website visitors — anyone who browses our website or submits a form.
  • Message recipients — people who receive messages from us across any channel, including customers of our business clients whom we contact on the client’s behalf to deliver notifications, confirmations, or support.
Messaging on behalf of clients When we send messages on behalf of a business client (for example, an order confirmation to that client’s customer), the business client is responsible for having a lawful basis to contact you and for obtaining any required consent. Syllo acts as a service provider processing that message. If you received a message you did not expect, the guidance in the “Your choices” section explains how to stop them.

02 Information we collect

What we gather, and how

We collect only the information we need to provide our services and communicate effectively:

  • Contact details — name, business name, phone number (including any messaging number, such as WhatsApp), email address, and mailing or business address.
  • Message content — the messages, questions, and files you exchange with us through any channel — such as email, messaging platforms, or web forms — and our replies.
  • Service information — details you provide so we can deliver our work, such as your business requirements, and information contained in documents you share with us.
  • Transaction and account information — records of quotations, invoices, and payments (we do not store full card or bank credentials).
  • Technical information from our website — basic data such as your device type, browser, and pages viewed, collected through standard web logs and, where used, cookies.

We collect this information directly from you when you contact us, engage our services, or use our website; and, for message recipients, from the business client who has engaged us to communicate with you.

03 How we use your information

Why we hold it

We use personal information to:

  • Respond to your enquiries and provide quotations, proposals, and support.
  • Deliver, configure, and maintain the services and systems you have engaged us for.
  • Send you service-related messages — such as confirmations, updates, reminders, and notifications — through the channels you or the relevant business client have requested or consented to.
  • Manage quotations, invoicing, and payments.
  • Improve our services, website, and communications.
  • Comply with our legal, tax, and regulatory obligations in Belize.

We do not sell your personal information, and we do not use the content of your messages for advertising.

04 Messaging platforms and third-party services

The tools we communicate through

We use a range of tools to communicate with you and deliver our services, some operated by third parties. When you reach us through one of these, your information is handled both under this policy and under that provider’s own terms and privacy practices.

One example is the WhatsApp Business Platform, provided by Meta Platforms, Inc. and its affiliates (“Meta”). When you communicate with us on WhatsApp:

  • Your messages are handled through Meta’s infrastructure and are subject to Meta’s terms and privacy practices, in addition to this policy.
  • We access your messaging number and the content of the messages you exchange with us, so that we can read and respond to them and, where applicable, deliver notifications on behalf of a business client.
  • We use this information only to communicate with you for the purposes described in this policy — not to build advertising profiles.

To understand how Meta processes information through WhatsApp, see the WhatsApp Privacy Policy and the Meta Privacy Policy. Other channels we use, such as email and web hosting, are likewise governed by their own providers’ practices alongside this policy.

05 How we share information

Who else may see it

We share personal information only where necessary, and only with:

  • Service providers — trusted vendors who help us operate, such as messaging platforms (including Meta/WhatsApp), hosting and infrastructure providers, and payment processors. They may access information only to perform services for us.
  • Business clients — where we message you on behalf of a business you deal with, that business receives the information necessary to manage its relationship with you.
  • Professional advisors — such as accountants or lawyers, where reasonably required.
  • Authorities — where we are required to disclose information by law, regulation, or valid legal process in Belize.

We do not sell or rent your personal information to third parties.

06 Data retention

How long we keep it

We keep personal information only for as long as we need it for the purposes described in this policy, or for as long as required to meet legal, tax, and accounting obligations in Belize. When information is no longer needed, we take reasonable steps to delete or anonymise it.

07 How we protect your information

Our safeguards

We apply reasonable technical and organisational measures to protect personal information against loss, misuse, and unauthorised access — including access controls, secure infrastructure, and limiting access to those who need it. No method of transmission or storage is completely secure, but we work to protect your information and to respond appropriately if an issue arises.

08 Your choices and rights

What you can control

  • Stop messages — you can opt out of our messages at any time. For messaging platforms such as WhatsApp, reply STOP to any message from us, or block our number; for email, use the unsubscribe option or contact us. You can also message us at any time to ask that we stop.
  • Access and correction — you may ask us what personal information we hold about you and request that we correct anything inaccurate.
  • Deletion — you may request that we delete your personal information, subject to any information we must keep for legal or accounting reasons.
  • Withdraw consent — where we rely on your consent, you may withdraw it at any time.

To make any of these requests, contact us using the details below. We will respond within a reasonable time. If we messaged you on behalf of a business client, we may direct part of your request to that client, who controls the underlying relationship.

09 Children

Not directed to minors

Our services and communications are intended for businesses and adults. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us so we can remove it.

10 Changes to this policy

Keeping it current

We may update this policy from time to time to reflect changes in our practices or legal requirements. When we do, we will revise the “Last updated” date at the top of this page. Significant changes may be communicated to you directly where appropriate.
